MORETON SAY VILLAGE HALL COMMITTEE

Minutes of the meeting held on Thursday, 22nd September, 2011 in the Clive Hall at 7.30 p.m.

 Present:  Mr A Martin, Chairman, Mrs J Davies, Secretary, Mr C Dutton, Mr A. Porter, Mrs. A. Atkins and Mr G. Lester.

 Apologies received from Mrs. S. Dutton, Mrs C. Davies and Mrs J. Edwards.

The minutes of the previous meeting were signed as correct and the Secretary read out the last report sent to all members of the committee earlier in the year.

 There were no items arising not dealt with under the Agenda.

 Mrs. Davies provided a copy of the plans for the kitchen improvements for every one to view and the committee discussed the layout and possibilities for reducing the work necessary if we are unable to secure sufficient grants.  It was felt that we should press ahead and attempt to raise enough funds to finish the improvements completely rather than do part of the job.  Mrs Davies is to meet with Mrs G. Porter from Shropshire Council, week beginning 3rd October to show her the hall and see if further funding seams can be suggested.

 Mr Dutton gave a report of his meeting with the LJC planning committee on Wednesday, 21st September when our grant application came before the members of the committee.  He stated that we were unlikely to get more than £4000 as with the cutting back of funds nationally, the council budget for community projects had been halved.  However the voting on the various applications does not take place until 12th October when we would have the right to speak for our project and Mrs Davies has untaken to do this on behalf of the committee.

 A Financial report had been prepared with information from the bank accounts and the Vodafone JustTextGiving site (copy attached).  At present the balance stood at £4533.85, however the meters had just been read so there will be a considerable electricity bill arriving soon. 

 Future ideas for fund raising were then discussed fully including:

 1.  A Celebratory Tea Party for the Hall’s 100th year.  To take place on Sunday, 16th October in the Hall from 3.00 p.m. until 5.00p.m. or possibly until 5.30 p.m.  A ticket price of £5 per adult and £2 per child over 5 years was suggested.    It was arranged that we would prepare an exhibition of memorabilia from the earlier days of the hall, the Chairman having in his possession various plans and letters relating to the hall and the Secretary will try to obtain some old photographs of events held in the hall over the years.

The Secretary suggested that sandwiches, cup cakes and possibly scones would be sufficient for the tea and will be in touch with members and friends of the hall for help with the provision of these and with the arrangement of the room.

She will also contact the local Reporter for the Market Drayton Advertiser to see if we can arrange some publicity for the event.

2.  Folk music event.  It was agreed to go ahead with the booking of the folk group known as Whalebone for Friday, 11th November, 2011.  They provide advertising and ticket information and will charge half the box office money, thus ensuring that we will not be left with a financial loss.  A price of £7.50 was suggested by the Band as being the present usual price and any money made from the bar and a raffle would be ours.

Members felt that this was a good, new venture for us and would raise the profile of the Hall.  The Chairman was to approach the owner of Joules Brewery for a barrel of beer and undertook to take charge of getting the wine and soft drinks.  Mr Porter kindly said that he and his wife would run the bar for us.  The event would start at 7.30 p.m. and the band would play for two hours with a twenty minute break in the middle.   

3.  Pooh Stick Race. The Chairman explained that some years ago we held a Pooh Stick Race in aid of the hall which proved to be very successful.  We sold each “stick” (which are actually tongue sticks used by the doctor when looking in a patient’s mouth) for £1 and wrote the purchasers name on in waterproof pen. 

The sticks were thrown into the River Duckow from Longford and collected at Nobridge.  This was found to be rather too long so the Chairman suggests starting at the same point which is very safe for children and getting the sticks out by Mr Mitchie’s new bridge.  Date agreed for Sunday, 26th February, 2012, possible starting time 2.00 p.m.

4. Sponsored Walk around part of the Parish beginning and ending at the Clive Hall.  Pencilled in date of Sunday 22nd April, 2012 start time of 11.00 a.m.

5.  Further ideas for next year included a curry evening or supper evening, and a sponsored cycle ride.  Mrs Davies is to ensure that all this information reaches the Web Master for the village Site and is well advertised around the Parish.

Any other business

Mr Porter reported problems with the automatic outside lights and Mrs Davies was to get in touch with the builders to get them rectified as soon as possible.

There being no further business the meeting was closed at 8.30p.m.

Mrs Davies has received a request from Mrs Carolyn Davies to investigate the possibility of holding Flicks in the Sticks at the Hall and will report back at the next meeting.
